Welcome! This Privacy Policy explains how Soul AI LLC ("we," "us," or "our") collects, uses, and shares information when you use ClawBot, including our mobile application for iOS and Android and our website (the "App" or "Service").

Your privacy is important to us. By using our services, you agree to the collection and use of information in accordance with this policy.

2. Information We Collect

Information You Provide Directly

• Account Information: Name, email address, profile photo (via Google or Apple Sign-In, or email/password registration)
• Chat Messages: Messages you send to the AI assistant, including text and voice input
• Imported Conversations: Past conversations you choose to import into your Memory Bank
• Task Configurations: Scheduled jobs, automation settings, and task parameters you create
• Preferences: App settings, skill toggles, and personalization choices

Information Processed via Third Parties

AI Processing: Your chat messages are processed by third-party AI service providers to generate responses. This processing is governed by their respective data usage policies.

Authentication (Firebase): We use Firebase Authentication for secure login. Firebase processes your authentication credentials according to Google's privacy policies.

Information We Collect Automatically

• Usage Data: Features used, sessions created, messages sent
• Device Information: Device type, operating system, app version
• IP Address: For security and diagnostics

• Provide Our Service: Process your messages, maintain conversation history, execute scheduled tasks

4. Information Sharing and Disclosure

We may share your information only in these limited circumstances:

• AI Service Providers: Your messages are sent to AI providers for processing, governed by their policies
• Firebase/Google: For authentication and data storage
• Legal Requirements: When required by law or court order
• Business Transfers: In the event of a merger, acquisition, or sale

4b. Third-Party Integrations (Zoom, Gmail, LinkedIn)

Zoom Integration

When you connect your Zoom account, ClawBot accesses:

• Cloud recordings and transcripts — to generate AI meeting summaries
• User profile (read-only) — to identify your account
• Meeting metadata — meeting title, date, duration, and participant count

How Zoom data is used: Meeting recordings and transcripts are processed by our AI to generate summaries. Summaries are stored encrypted in your private Firestore account. Raw recordings are not permanently stored after processing.

How Zoom data is shared: Your Zoom meeting data is never shared with other ClawBot users or third parties (except AI processing providers as described in Section 4). Only you can access your meeting summaries.

Disconnecting Zoom: You can disconnect Zoom at any time in Settings. Upon disconnection, ClawBot immediately stops receiving new meeting data. Previously generated summaries remain in your account until you delete them or your account.

5. Data Security

We use reasonable administrative, technical, and organizational safeguards designed to protect your information. However, no method of transmission over the Internet or electronic storage is 100% secure, and we cannot guarantee absolute security.

• Encryption: All data is encrypted in transit and at rest
• Access Controls: Limited access to personal data on a need-to-know basis
• Secure Infrastructure: Hosting with reputable providers with strong security practices

• Access: Request a copy of the personal information we have about you
• Correction: Update or correct inaccurate information
• Deletion: Request deletion of your personal information, including chat history and memory data
• Portability: Request your data in a portable format
• Opt-Out: Unsubscribe from marketing communications

8. Data Retention

• Account Data: Retained while your account is active
• Chat History: Retained until you delete individual messages or your account
• Memory Bank: Retained until you delete entries or your account
• Scheduled Jobs: Retained until you delete them or your account

Upon account deletion, we will delete your personal information within a reasonable timeframe, subject to backup retention cycles and legal requirements.

If you are a California resident, you have additional rights under the CCPA, including the right to know what data we collect, the right to delete, and the right to opt-out of data sales (we don't sell data).

10. European Privacy Rights (GDPR)

If you are located in the European Economic Area (EEA), the following additional provisions apply:

Data Controller

Legal Basis for Processing

• Contract Performance (Art. 6(1)(b)): Processing your messages, account data, and task configurations is necessary to provide the Service you requested.
• Legitimate Interest (Art. 6(1)(f)): Usage analytics, security monitoring, and service improvement, where our interests do not override your rights.
• Consent (Art. 6(1)(a)): Where we rely on consent (e.g., marketing communications), you may withdraw consent at any time by contacting us. Withdrawal does not affect prior processing.

International Data Transfers

Your data is transferred to and processed in the United States and other countries where our AI service providers operate. These transfers are necessary to perform our contract with you (Art. 49(1)(b)). By using the Service, you acknowledge this transfer. We do not guarantee that these countries provide the same level of data protection as the EEA.

Automated Decision-Making

ClawBot uses AI to generate responses and execute tasks. This processing is not used to make legally binding or similarly significant decisions about you. AI outputs are informational only and require your review before any action is taken.

Your GDPR Rights

In addition to the rights in Section 7, you have the right to:

• Object to processing based on legitimate interest
• Restrict processing in certain circumstances
• Withdraw consent at any time where processing is based on consent
• Lodge a complaint with your local Data Protection Authority (a list is available at edpb.europa.eu)

We will respond to rights requests within one month. We may verify your identity before fulfilling requests.

Age Requirement

In the EEA, you must be at least 16 years old to use the Service (or the minimum age set by your member state). If you are under this age, you may not use ClawBot.

Data Minimization

We process only the data necessary to provide the Service. We do not use your data for profiling, ad targeting, or purposes unrelated to delivering ClawBot's functionality.

11. Changes to This Privacy Policy

We may update this privacy policy from time to time. We will notify you of significant changes by posting the updated policy and updating the "Last Updated" date.

ClawBot is a product of Soul AI LLC. To the maximum extent permitted by law, any privacy-related claims should be brought against Soul AI LLC (the company), not against individuals associated with the company in their personal capacity.
